How does PayPal work with FR Books?

PayPal feeds for FR Books mean that a PayPal account can be added in the same way as a bank account. Once connected, transactions will automatically import ready to be categorised.


Setting up PayPal feeds in FR Books

To get started, go to Enter Transactions > Banking > click on 'Add New Bank Account'.

You will then be prompted to enter a bank account name. If you call the account PayPal (or a name that contains PayPal), the PayPal feed will be automatically selected as the 'Entry method'.

Click 'Connect PayPal Account' and you will be navigated to the PayPal website to enter your credentials.

Once approved, you will be prompted for the date to import transactions from:

The next step is to select the date you want to start transactions coming into FR Books. If you have been using an existing PayPal bank account in FR Books (perhaps you entered transactions manually) then you can enter the start date as the day after the last transaction in that account.

PayPal transactions will then be automatically loaded into FR Books as shown below:

Click the green check and confirm icon to categorise the transactions. This works in the same way as categorising bank transactions via file import or bank feeds.


What about multiple currencies in PayPal?

FR Books will automatically detect the currencies you use in your PayPal account and will create 'sub-accounts' for each currency automatically as follows:

Transfers between currency sub-accounts will automatically be categorised in FR Books, ensuring that duplicates do not occur.


Can I accept PayPal payments through my invoicing in FR Books?

This is a feature currently in development.


What if I already had a PayPal account in FR Books?


At present, an existing bank account's entry method cannot be changed to 'PayPal feeds', only for a newly created account. For existing PayPal bank accounts you can either:

  1. Bulk edit all transactions in that account to be contained in a new PayPal account.
  2. Transfer the balance from the old PayPal account to the new one. For example, if you had £100 in the old account you can process a Money Out transaction for £100 and categorise to the new PayPal account.
